Late March— When contest was first begun, the principal of the middle school was contacted to acquire permission to hang our publicity sign on the middle school fence. This contact may need to be made again due to construction at the school?

Early April— Send email to prior year’s photography contest participants to encourage their participation in this year’s events.
Early April— Send budget request for the coming year to the SV Arts Commission.
Early May— Reconfirm with SVLibrary Curator, the details of the show.
Early June— Send winners congratulations and information about the fall exhibit. Send other participants thank-you emails for participating in the contest.
Early June— Send email to SV Arts Commission briefly summarizing the event. (If a Commissioner is involved with the Contest, then this report can be done in person, by the Commissioner.)
Mid June— Send another round of press releases to the Banner and the SV Times announcing the winners and inviting the public to see the exhibit in the fall. Typically the winning image and the people’s choice image are sent with this.
August (or whenever the exhibit starts)— Inform participants of finalized dates of show, the reception and let them know they will be contacted as to date for pick-up of work from the library. Take printed images to the Library to be hung. D. Hooker will provide date/time information.
November (or whenever the exhibit ends)— Contact winners to give them the date to pick up their work. If they cannot make it, try to get them to send someone else to pick up work. Otherwise, collect work for them and make arrangements for its pickup.
